How to allow Customers to raise jobs on your behalf

Okappy allows your customers to create and submit jobs for you to carry out, such as a maintenance request or service.

Please see below for steps

Firstly, your Customer needs to be set up as a Connection

  1. Access Connections: Start by launching Okappy. In the upper right corner of the screen, you’ll find the connections icon (). Tap on this icon to open your network options.
  2. Navigate to Customers: Within this section, you will see a list that includes Employees, Customers, and Subcontractors. Tap on ‘Customers‘ to view your list of customer contacts. From there you can directly Add customer, or view customers to see who is already connected.
  3. Connect with Customers: When you first set up a Customer on Okappy, an optional invitation will be sent to them so they can connect and assign jobs to you. The Customer can click on the link in the invitation to set up their own account. If you didn’t send an invite originally, or they haven’t previously accepted it, you’ll see a blue button asking if you want to resend the invitation. Click on this button to resend the invite. Your Customer can now add a Job from their own Okappy account

  1. Customer Logs into Okappy: To create a job for you to carry out, your Customer clicks on the New Job button
  2. Customer enters job information: When ready to submit, your Customer would select your company from the assign to dropdown and then adds the job.
  3. The job will appear in your job list: On your Okappy dashboard a notification will appear that a job has been added. You can then schedule as required.
  4. Your Customer can then track progress as usual: Similar to how your jobs work, you will both be able to track the progress of this job.

Important Notes

  • Privacy Settings: The ability to view customer details can be enabled or disabled through your company settings screen. Please adjust these settings according to your privacy preferences and company policies.
  • Access Restrictions: It’s important to note that customers can only see their jobs, they can’t see any of your other customers’ jobs. This is the same for your subcontractors. In the same way, if you’ve assigned the job to one of your subcontractors, your customer would not see this. And your subcontractor would not see who your customer is.
